A practical way for a Dubai business to choose its first AI workflow, define the controls and decide whether the result is worth keeping.

Start with one repeatable task that has a clear owner, usable information and a reversible outcome. Use rules for predictable steps, AI for bounded interpretation, and a person for decisions that carry meaningful consequences.

Choose a business problem before an AI tool

An enquiry copied into a CRM, a proposal assembled from old documents or a booking request passed between branches can be a better starting point than a general company chatbot. Choose a task people already understand. Ask the person doing it to walk through recent examples, including the awkward ones.

Score the first workflow on four practical questions

You do not need a complicated maturity model. Compare a few candidate tasks using the same questions. A high-volume task with unclear ownership can be a poor pilot, while a smaller workflow with good records and a willing owner may teach you much more. Write down why you selected it so the project does not grow simply because another department has an interesting idea.

  • Is there a recognisable beginning and end?
  • Can we access reliable information with appropriate permission?
  • Can a person spot and correct a mistake before harm occurs?
  • Will the same team own the workflow after launch?
The first milestone is a workflow your team can trust, not a demonstration that can do everything.

Separate rules, AI and human decisions

Use a rule to assign an enquiry to a known branch. Use AI to prepare a short summary of a free-text brief. Ask a person to approve a price, resolve conflicting information or send a sensitive response. These are different jobs and should not share one vague permission.

For a Dubai business, the brief might include the emirate, preferred language, requested service and AED budget. Missing information should remain visibly missing. A fluent sentence should never turn an unknown budget or uncertain appointment into a confirmed fact.

Design the exception before the happy path

Decide what happens when a tool is unavailable, the same request arrives twice or a document contradicts the CRM. A useful exception queue shows the original request, what the system attempted and who should act next. It should not ask the coordinator to reconstruct the entire process from logs.

Begin with draft-only outputs and a pause control. Check messaging permissions, supplier terms and data-handling arrangements before connecting real customer information. Multilingual outputs need a reviewer who can assess their meaning, not just their appearance.

Measure the whole task, including supervision

Record the current handling time and the number of corrections over a representative sample. After the pilot, count review time, exception handling and maintenance as well as the steps that disappeared. A system that drafts quickly but creates a long checking queue may not be an improvement.

Use a small scorecard: completed requests, corrections, unresolved exceptions and time to a reviewed outcome. Set an acceptance threshold with the process owner before the pilot. Do not convert estimated hours into cash savings unless there is a real, agreed change in cost or capacity use.

Make the first brief one page long

Describe the trigger, the source systems, the output, the reviewer and the stopping conditions. Add a few examples of normal and unusual requests. Include what the first version will deliberately not do: perhaps it can prepare a proposal but cannot send it, or organise a lead but cannot contact the prospect.

That brief gives a development partner enough context to discuss feasibility and integration access. It also gives your team a sensible way to reject scope that does not improve the selected workflow. Expand when the first version works in ordinary operations.
